18.2. Creating Listings & Sending Listings eGreetings

Step 1: Create a Listing

1. Login to your Relationship Manager tools


2. Choose Listings from the menu options on the left. If your listings are provided to 
     PropertySource from your Broker or MLS Service, you can EDIT your listings or simply skip to 
    STEP 2: Send a Listing as an eGreeting.



  

3. Click Add a New Listing

4. The Create Listing tool will open.  Note the detailed information available on each section in the
    convenient Click to Learn More dialogue boxes.



 
5. Within the Listing Status and Location section, select the desired status from the pulldown menu.

6. In the same section, enter the listing's address, city, state and zip code.  The "Located In" field
    is not a required field but you may enter information such as the name of the county or subdivision
    if you wish.  There is a character limit, so be careful to keep your information brief enough that it
    will all display.

                              Beautiful Madison County                   Sun City Grand
 
 
7. Within the Listing Details section, enter the property MLSID and the remaining appropriate Listing
    Information.

   *Baird & Warner Agents ONLY: your broker has provided a Baird & Warner ID in addition to
     the propety MLSID for technical purposes

8. If your listing has a unique URL on your broker's web site or on a third-party web site, enter it in
    the Listing URL field to activate a hyperlink to the URL within your eNewsletter and PropertySource
    web site Listing Details / View This Listing Online.  The Listing URL field is not intended
    to populate photos into your Listing eGreetings or your web site (see Step 9).

    *Note: Please test your manually-entered URLs to ensure the links are correct!


 
9. Within the Add Photos To Your Listing section:

    a. Enter the name of the photo to be used.  This field is required, but you can name the photo
        whatever you wish.  The name should be brief. 
 
    b. Click Browse to locate the .jpg or .gif photo to be uploaded.  When the image has been located,
        either doubleclick the image to add it, or click once to select it, then click the "Open" button within
        the dialogue box.
 
    c. Click the Add+ button to upload the photo.
 
Notes on photos and names:

 

           Photos uploaded that do not meet ideal size requirements will be automatically enlarged or
           reduced to fit the available space and pixelization will occur.  Use Photoshop or an alternate
           image editing program to resize your listing photos for optimal viewing.

10. Click in the Enable This Listing In My Newsletters checkbox to activate the listing for your
      eNewsletters and on your website in the VIEW MY LISTINGS link.  The listing will automatically
      appear in all eNewsletters transmitted on your behalf and on your website until you inactivate
      the listing or uncheck the checkbox.

11. Click Save Listing to save a copy of your listing on your hard drive, desk top or floppy disk. 

 

Step 2: Send a Listing as an eGreeting


1. After you have completed Step 10 above, click Save & Create eGreeting.  The eGreeting template 
    page will open.

  
   Alternately, if you would like to create a Listing eGreeting for a listing you have already created, click
   the Create icon next to the appropriate listing.  The eGreeting template page will open.

  

2. Select the individual greeting you'd like to send from the Select an eGreeting to Send page by
    clicking on the appropriate thumbnail image   

 
3. Use the Optional: Add a message to recipients field to enter any custom message you would
    like to send.  Don't forget to spell-check your message!
  
  
                                      
4. Optional: Update the Email subject line for an extra personal touch.  If you do not update the
    Email subject line, the default subject will be created using the property Address 1 and Located
     In
fields (a comma will be inserted between the two fields):

    

5. Salutation: By default, the salutation ("Dear Bob," etc.) will be automatically supplied by us. 
    Data will be pulled for the Salutation as follows, with the word "Dear" pre-appended:
 
       a. Dear Name field    (Dear <Dear Name>)
 
       b. If Dear Name field is blank, First Name field will be pulled   (Dear <First Name>)
 
       c. If First Name field is blank, salutation will read "Greetings,"
 
    It is also important to note that the data for these fields is pulled exactly as it exists in your
    database, including case sensitivity, prefixes (Mr./Mrs., etc.), typographical errors and data that
    has been imported into the incorrect field

    Alternately, you can choose to Suppress the display of the salutation.  In this case, you can add
    your own salutation, such as Happy Spring! in the "Add a message to recipeints" section.  If you
    select this option, remember to make your salutation generic if sending your eGreeting to more
    than one recipient.  To suppress the default salutation, click in the checkbox:

   
 
6. From the Select Your Recipients section,
 
    a. Click the Entire Contact List radio button to send the greeting to every contact within your
        database for whom an email address is present , OR
 
    b. Click the Contact Groups radio button to send the greeting to a specific Group or Groups (select
        your group by using the drop-down menu), OR  


 

 
    c. Click the Recipient List radio button to choose individual recipients from your contact database
        (select the individuals by clicking on them and using the << arrows to move them into the
        "Recipient List" field on the LEFT.  Hold your SHIFT key while selecting multiple, CONSECUTIVE
        recipients; use your CONTROL key while selecting multiple, NON-CONSECUTIVE recipients).

7. From the Schedule Your Greetings section, choose when you would like the eGreeting to be sent
    by clicking the appropriate radio button.


    Note: Immediately means "Right Now!" and overrides any dates you enter in the date field 
       below it. 
 
8. PREVIEW your eGreeting by clicking the Preview button to check grammar, spelling and overall
    appearance.  You may edit and re-Preview your eGreeting as many times as necessary prior
    to sending.

 
9. Once you have confirmed the information is correct, click the SEND button.

 
10. Once you have clicked the Send eGreeting button:

   a. If you have chosen the Send Immediately option, the eGreeting will be sent to our SEND queue.
       At this point the eGreeting is not retrievable, editable or deletable.  It may take up to several
       minutes for the eGreeting to leave our queue depending on volume.

   b. If you have selected a future date, your eGreeting will be sent to our "Holding" queue for transmittal
       on the date you have selected.
 
    If you have chosen to send your eGreeting on a future date, you may edit your eGreeting at any
    time by accessing the Scheduled eGreetings feature and clicking the Edit icon. eGreetings may be
    canceled prior to the send date, but not on the send date.
